7:00 AM – Coffee, Clipboards, and Calm Energy
We begin early, awake with the first vendor to check in, ensuring the day gets off to a smooth start. Our lead coordinator is reviewing the final timeline and vendor contacts while sipping coffee (or matcha—we’re a balanced team). Before heading out, we check in with the team group chat: confirmations are flying, checklists are ready, and we’re already mentally walking through the day. We pack our emergency supplies and planner kits and hit the road.

12:00 PM – Team Site Walk at the Venue
Our first stop: the venue walkthrough. Whether it’s a mountaintop vineyard or an urban loft space, our job is to align the plan with the physical space. We review setup layouts, confirm power access for lighting and music, and connect with the venue manager to align on flow. Our team works through their plans and asks any last minute questions before we divide and conquer the day. We’re not just coordinators—we’re translators between vision and reality.
1:00 PM – Vendor Check-ins and Setup Begins
Florists arrive. Rentals are delivered. The band is unloading. This is where our values really shine: communication, collaboration, and leadership without ego. We treat every vendor like a trusted partner. We take the time to connect with them in advance of the event to ensure logistics remain smooth on site. Our team ensures everyone knows where to be and when. Our leads are running set-up at each site, proactively managing each space and the vendors who set up there. 3:00 PM – Ceremony Sound Check & Guest Prep
With chairs set and signage styled, we walk the officiant and sound team through the ceremony processional. We remain visible and available for any family or wedding party who have questions that may have come up since our rehearsal the day before. We coordinate transportation, label seats, assist with pinning boutonnieres, and make sure grandparents are hydrated and seated. Our team is also the first presence a guest encounters upon arrival, acting as a concierge for any and all needs while settling in.
There are no missed cues on our watch. We are the quiet rhythm beneath the beauty.
5:00 PM – Ceremony Begins
Once the music swells and the processional starts, we’re in full flow: cueing the music, adjusting trains, signaling the officiant. We triangulate the logistics with a number of team members to ensure the ceremony launches without a hitch. From just out of sight, we hold our breath with the rest of the guests and watch the intimate memories unfold.
Our role is to hold space, not take up space. We ensure the couple can be fully present in their moment.
5:40 PM – Cocktail Hour & Transition
As guests mingle, our team shifts into transition mode. We confirm reception design and seating, cue the caterer, and reset any ceremony elements that are being reused. Candles are lit. Table numbers are straightened. The timeline is updated in real time. We also follow closely behind the ceremony to ensure no items are forgotten and that all keepsakes are accounted for.

By midnight, we’ve packed memories into boxes, left the space cleaner than we found it, and given a final grateful hug to the venue staff.
